The Registration window allows admission of patients into the system.
The Customize Required Fields master file is used to set mandatory fields in the Registration screen.
To access the Registration window, click the Registration button on the main Patient Registration screen. [+]

New Visit |
The New Visit button is used to admit a patient who has an existing MPI record. See New Visit. |
New Quick Admit |
The New Quick Admit button is used to admit a patient whose identity is unknown and needs to be admitted as quickly as possible. This function assigns a new MR#, and the patient's last name defaults as "QuickAdmit." Minimal information, such as approximate age, sex, first name, and doctor is needed. Once the approximate age and sex is entered, the patient's first name defaults to 25 Year Old Male, for example. See Quick Admit Registration. |
New Triage Visit |
The New Triage Visit button is used to admit an existing patient with minimal information (similar to Quick Admit). See New Triage Visit. |
New MPI |
The
New MPI button is used
to create a Master Patient Index (MPI) for the patient if one
does not exist. See New

Print Forms |
The Print Forms button is used to print the episode's admission forms. See Print Forms. |
Edit Visit |

Patient Portal |
(For sites using a patient portal) The Patient Portal button at the bottom of the Registration window is used to track your patients' opt in/out status, PIN/registration, and PIN date for the patient portal. Once the patient is selected, click the Patient Portal button to access the Patient Portal screen. The Patient Portal button is available based on the following configuration for your site:

CommonWell |
The CommonWell button is visible and available for sites licensed and configured for the CommonWell application, and for users that have been given permissions to access CommonWell. The CommonWell application provides Enrollment and Linking to the CommonWell Alliance database. The CommonWell button color is updated to the current status after accessing the CommonWell Status screen. If the patient is enrolled, the button appears green. If the patient opted out of participating in the CommonWell Alliance, the button appears orange. If no status has been recorded, the button color is gray (normal). See CommonWell Status for detailed instructions on how to use the CommonWell Status screen. |
The Registration window provides several options for locating a specific patient/episode based on the fields in the Master Patient Index (MPI). Each of these search options is a field in the MPI. (NOTE: The Alternate and Other ID options are generally used with interfaces.) Use the following instructions to enter your search criteria.
In the Search By field, use the drop-down list to select how you want to search the list and sort the results. Select from the following sort options: Alternate Name, Date of Birth, External Patient ID, Guarantor Name, Guarantor No, Medical Record No, Patient Name (default), or Patient Name(Phonetic).
Searching by Guarantor searches for the MPI guarantor, not the episode/bill guarantor. To search for the episode/bill guarantor, use the Accounts Receivable or Collections applications.
In the Facility field, use the drop-down list to select a specific facility to include in your search criteria. Only episodes from the chosen facility are displayed in the search results. Leave the default of All to include all facilities in the search.
In the Search For field, enter the specific term to search for based on the Search By field choice. Enter all or part of the term (or, if a drop-down list displays, select an option) to retrieve all patients that match the criteria.
Check the Include Combined/Inactive Admits to include combined episodes and inactive episodes in the search results.
Click Find to display the search results in the Patients and Episodes grids of the Registration window. You can click any column heading to sort the list based on that column. Click the column heading again to reverse the order (i.e., ascending or descending). Any columns in the grid can also be narrowed or widened by dragging the bar between the columns.
The Ind column indicates the admission status of the episode. Below are the possible status codes:

The Linked Episode column displays the episode number of an episode linked to the visit.
To display all patients that have Quick Admit episodes, check the Display Quick Admit Episodes Only box and click Find. To search for a specific quick admit, check the Display Quick Admit box, enter the beginning letter of the last name in the Search For field (A, B, C, etc.), and click Find, displaying only patients that have a quick admit visit and a name starting with that letter. See Quick Admit Registration for more information about the quick admit process.
Check the Display Pre-Admit Episodes Only box to display a list of pre-admits matching the entered search criteria.
Check the Include Combined/Inactive Admits box to include combined episodes (Ind column = C) and inactive episodes (Ind column = I) in the search results.
You must use the Medical Record Number search option to locate a merged MPI record. Merged MPIs are displayed in red in the search results.
To view the merged MPI, select the row of the MPI. The message, Medical Record Number XXXX has been Merged to YYYY, is displayed. Click OK. Click Edit to open the Edit MPI screen in view-only mode. Users are not allowed to add, edit, or remove any information on the screen.
