Special Features of Notes

Multitasking in Notes

Healthland currently offers 2 options for documenting notes.

• Chart Notes: The tool that has been in place for use with Centriq provides a basic template driven, documentation tool, that features Smart Tags to import data elements into the note.
  
• Notes: A structured documentation tool that allows clinicians to complete and build documentation using pieces of data throughout the application. To turn on the new Notes feature, contact your Healthland Account Manager.

In Centriq v11.0, the Notes feature was added as a replacement for Chart Notes as a documentation tool for clinicians. Initially, some sites may elect to continue to utilize Chart Notes instead of Notes. And, in Centriq v11.1, Notes v2.0 was introduced and contains additional functionality which is noted in this application help.

Setup Considerations: For this feature, there is an extensive setup process to ensure the feature functions appropriately, including user security setup. See the Centriq Notes Setup & Maintenance Guide on Learning Depot for details.

It is imperative that you have a time synchronization service running and it is set up properly to ensure client and server time synchronization. Use the Windows service NTP to ensure that your servers are synchronized to the domain controllers using the NTP protocol. And, the domain controller should be no more than 2 hops from an atomic clock/stratum 1 time server. Contact your facility's System Administrator for details.

To access Notes

This feature, when activated, is launched from the Main screen using the Notes button. If a patient is selected from the Main page, the Notes window is displayed. If the patient is not pre-selected, the Patient Visit Search window for Notes is displayed.  Enter the patient name to view a list of available visits. Select the desired visit from the grid. The Notes window is displayed.

Special Features of Notes

• When the Notes feature is open, the Notes button has a red notes icon present on the upper right corner of the main Notes button and a red notes icon in the page footer.
• Users have the ability to review patient data (chief complaint, medical history, medications, and lab results) from the Create Note page. Medical History items can also be added from the Create Note page.
• When this functionality is turned on, the Chart Notes tab of the Patient Chart no longer appears. Access the Notes feature from the Icon on the main page or the icon in the footer.
• Notes are displayed on the improved Documents page in a section titled Notes.
• ED Disposition Docs, Abnormal Assessments, and Transcribed Documents are displayed in the Notes > Note Library list.
• In the Notes feature, users now have the ability to mark a note addendum as erroneous.
• When switching from the previous Chart Notes functionality to the new Notes functionality, all previously created notes will be displayed in the new Notes feature in the Note Library.

Multitasking in Notes

The relationship between the primary Centriq window (Main) and the Notes window is unique to the other windows in Centriq. In certain situations, when the primary Centriq window closes and leaves the Notes workspace window orphaned, it will close the Notes window.  At that time, ceratin items will be auto-saved. Those items (that will be saved) are listed in the  chart below:

The most common scenarios for forced auto-save are the following situations:

• A user hits the Continue button in the primary Centriq alert that displays in the primary Centriq window (when switching patients, visits, logging out, etc.)
• Centriq times out and the user does not extend the Centriq session when prompted in the primary Centriq window.
• The primary Centriq window is closed (intentionally or accidentally) and the Notes workspace window is orphaned, therefore forced to close.  In this case (like the detached Chart Notes in 10.4.3), the Notes workspace window will have a countdown box that tells the user that the primary Centriq window has closed.  This countdown box follows the maintenance setting (see Maintenance > Detached Chart Note Alert Message Time).
