The Merge Medical Records window is used to combine two MPI records for the same patient.
Below are scenarios where Merge MPI would be needed:
When a Quick Admit episode needs to be merged to an existing medical record.
When a patient was mistakenly added to the system more than once.
Review the following important notes about the Merge MPI process:
Episode numbers will re-number to the next available episode number based on the new Medical Record number.
If Social Security numbers do not match, a warning message is displayed.
All demographics (SSN, DOB, etc.) and clinical history which is maintained based on Medical Record number will NOT be moved from the closed MPI to the retained MPI. We recommend you update the retained MPI for the applicable items below or print the Patient Chart Report and scan it to the remaining MPI for the clinical items prior to the merge process. Items that need to be manually updated include:
Allergies
Home Medications
Problem List
Surgical
Immunizations
Family History
Pregnancy History
Disclosure/Restriction Information
Insurance Information
Health Maintenance
Patient Communications
Data at the episode/visit level is retained upon merging, including:
Registration, coding, and billing information such as charges, payments, episode notes
Vitals, assessments, orders, and documents
Lab results, Radiology results, and Medication Administration Record (MAR)
To access the Merge Medical Records window, go to Patient Registration > Admin > Merge MPI. [+]
In the Search By field, use the drop-down list to select one of the following sort options:
Alternate Name
Date of Birth
External Patient ID
Medical Record No
Patient Name
Patient Name (Phonetic)
In the Search For field, enter the full name/number or a few characters to search for based on the Search By field choice, or leave blank to include all patients. If searching by Date of Birth, use the drop-down list to select the month, day, and year, if known.
When searching by Social Security Number, the dashes in the SSN are automatically applied. You must enter all 9 digits of the SSN or only the last 4 digits; all other entries are invalid. Cursor placement must be exact—when entering the last 4 digits, be sure to place the cursor behind the last dash.
In the Facility field, use the drop-down list to select a specific facility to include in the search criteria, or select All (default) to include all facilities in the search. NOTE: Only episodes from the chosen facility are displayed in the search results.
Click Find. A list of episodes matching the search criteria is displayed.
From the grid, select the episode to be closed and click Select located above the MPI To Be Closed section. The selected medical record number and name is displayed in that section.
Change the search criteria if needed; then, from the search results, select the episode to retain and click Select located above the MPI To Be Retained section. The selected medical record number and name is displayed in that section. NOTE: Medical records with Quick Admit status cannot be chosen as the MPI to be retained; they must be updated before the medical records can be merged. If an episode is a Quick Admit, the message, Medical Records with Quick Admit Status cannot be chosen as MPI, is displayed. Click OK, and make adjustments as needed to continue.
Click Merge to merge the valid medical records, or click Close to cancel and exit.
If the Social Security Numbers of the MPIs do not match, the message, The SSNs of the selected MPIs do not match. Are you sure you want to merge the two? is displayed. Click Yes to continue merging the two MPIs, or click No to cancel.
A verification message is displayed. Click Yes to continue or click No to cancel.
A confirmation message is displayed stating that the MPI details merged successfully. Click OK. Only the retained record is displayed.
